MEMBERSHIP
New member’s application forms (available from The Hon.Sec., Regional Secretaries and the Website.) are processed by our Hon. Sec. who compiles the list for the main committee’s approval at the next meeting and sends the prospective members a welcome pack. Copies of all new members forms are also sent to our Treasurer Colin Whittock for his records and Judith Murray who manages the list.
Changes of address and details are processed in a similar way.

In 1996/7 we undertook the mammoth task of superseding the original typed list with a database format, took nearly a year before satisfactory solutions were being achieved. We have to thank Justin Scott (Secretary at the time), Jan Albon (the newsletter editor during that period), Sally Money and Colin Wells without whose help this transition would not have been a success.
One of the initial requirements for our database format was to enable clearer management of the list and easier production of mailing labels. The categories chosen were developed with these issues in mind.

The management of data in this way also allows us to sort the data and view other useful information such as patterns of subscription renewals and the geographic location of our members:-

The arrangement of database also enables us to assess our publication print runs and postage requirements together with the production of lists based on any specific date.
Upon receipt of subscriptions a process similar to that followed by the new members applications is adopted. The main sources are cheques and money orders sent direct to Colin or Joan, Standing Orders though the banking system, as part of show entries payments and cash collected at our events and Crufts.
There are in fact five lists operating in parallel.
- The UK Domestic list for the current year.
- The Europe and Eire list for the current year
- The Rest of the World for the current year
- The New Members list for the current year
- The Outstanding Subscriptions list for the current year
The split between lists 1,2&3 allows us to group by postal cost
List 4 helps our committee approval process and list 5 enables us to send out reminders if necessary.
Innovations introduced since 1997 have been :-
- The introduction of an ID or Membership Number reference.
- The change to a database management system.
- A membership list manager.
- Telephone numbers added.
- Email addresses added.
The Membership List is not published in the public domain. The Officers, Elected Committee Members and Branch Secretaries have printed copies.
We would ask members to use their ID/Membership Number when corresponding with the club.
The accuracy of text on the list is dependant on our ability to read your handwriting so, if there are any corrections we can make let us know.
